Meet Ruby, AutoSettle's AI Credit Controller

Ruby watches your overdue invoices in Xero, QuickBooks or Sage, decides who needs chasing, drafts firm but polite messages across email, SMS, WhatsApp and letter, and proposes recovery steps. Nothing contacts a debtor or changes your accounts until a person approves it.

Know who to chase first: Ruby ranks overdue debtors by balance, days late and payment behaviour, and explains her reasoning.

Send consistent chases without writing them: Drafts that cite the real invoice number, amount and due date in a firm, professional tone.

Recover late-payment charges correctly: Calculates statutory interest (Bank of England base + 8%) and fixed compensation under the Late Payment of Commercial Debts (Interest) Act 1998, then proposes a penalty invoice.

Agree payment plans and settlements: Proposes structured instalment plans or settlement offers; chases pause automatically when a plan is accepted.

Escalate without guesswork: Recommends a Letter Before Action when a debt has run its course, with the evidence trail ready.

See what happened this week: Numbers-first summaries of chases sent, replies, payments and recoveries completed.

Is Ruby a real person? No. Ruby is an AI persona — the firm voice of AutoSettle's AI Credit Controller. Your team stays in control and approves every action that contacts a debtor.

Will Ruby send messages without my approval? No. Ruby drafts and proposes. Communications, payment plans, late-fee invoices and legal escalation need explicit approval. Only recovery sequences you've activated run on schedule.

Which accounting systems does Ruby work with? Xero, QuickBooks and Sage Business Cloud. Invoices can also be imported by CSV.

Can Ruby charge late payment interest? Ruby calculates statutory interest and fixed compensation under the Late Payment of Commercial Debts (Interest) Act 1998 for business-to-business debts and proposes a penalty invoice for your approval.

Is my accounting data used to train AI models? No. Ruby's analysis is session-only and your accounting data is never used for model training.

Does Ruby have a public API or MCP server? Not at present. Ruby works inside the AutoSettle app. The only public interface is the enquiry endpoint on this page, for questions and feature requests.

Can you add a capability Ruby doesn't have yet? Often, yes. Tell us what you need using the form on this page. Our team builds quickly and will assess whether we can deliver it — sometimes the same working day. We'll confirm what's possible before any commitment.

How much does it cost? Ruby is included in every AutoSettle plan, each with a 14-day free trial. See the pricing page for details.
